Stock Controller

As part of our strategy for growth, we are currently seeking to recruit a Stock Controller for our Group’s Retail Division

The Company

VF Group, Malta’s leader in luxury fashion retail, outdoor media, and uniformity business, is seeking to recruit a
Stock Controller on a full-time basis.

The Stock Controller manages inventory and ERP system operations, ensuring accurate stock levels, seamless data integration, and process efficiency. The role requires cross-department collaboration, supplier relationship management, and leveraging technology to support data-driven decisions.

THE POSITION

The Stock Controller will play a central role in managing inventory and supporting system operations across VF Group’s retail and logistics functions. Reporting to the Operations Manager, this position is responsible for overseeing stock control, ERP system administration, and documentation processes to ensure inventory accuracy and efficient workflow.

This role requires a methodical and analytical mindset, with strong technical skills and the ability to collaborate across departments and suppliers.

RESPONSIBILITIES

STOCK CONTROL

  • Inventory Management

    • Conduct stock counts, audits, and reconciliations to maintain accurate stock levels.

    • Resolve stock discrepancies promptly.

  • Order Processing

    • Collaborate with procurement to process stock orders based on demand forecasts.

    • Monitor stock movements and ensure timely replenishment.

  • Documentation and Reporting

    • Maintain detailed records of stock movements and adjustments.

    • Generate and analyze reports on stock trends and variances to support decisions.

  • Collaboration

    • Work with logistics, sales, and finance teams to ensure smooth coordination.

    • Maintain strong supplier relationships to optimize procurement processes.

  • Price Monitoring and Updates

    • Monitor and update selling prices to reflect market changes.

  • Shipping and Reconciliation

    • Post shipping details and related documentation into systems.

    • Reconcile customer invoices for accurate financial records.

  • Document Processing

    • Itemise invoices and process incoming documentation from suppliers, including invoices, credit notes and other relevant paperwork.

 

ERP ADMINISTRATION

  • System Maintenance and Support

    • Perform system updates, patches, and backups.

    • Provide technical support and training to users.

  • Data Integrity and Customization

    • Oversee data accuracy, security, and integrity.

    • Configure ERP modules and manage third-party tool integrations.

  • Performance Monitoring

    • Monitor system performance and resolve downtime issues.

  • Access Control and Reporting

    • Define user roles and permissions to ensure compliance.

    • Generate data-driven reports to support analytics and decision-making.

  • Vendor Coordination

    • Liaise with ERP vendors for updates, support, and new feature implementations.

  • Warehouse Staff Training

    • Training warehouse employees on ERP system management and assisting in daily ERP-related duties.

 

Requirements

    • Proven experience in stock control, inventory management, or ERP administration.

    • Proficiency in ERP systems and advanced Microsoft Excel skills.

    • Strong analytical, organizational, and problem-solving abilities.

    • Effective communication and collaboration skills.

    • Attention to detail and ability to maintain data integrity.

    • Experience in supplier relationship management.
